Managed AI Workflow Automation

AI workflow automation, from pilot to production

Most teams can demo an AI agent. Almost nobody can keep one running. Our AI workflow automation services turn repetitive, multi-step processes into reliable AI agents built on n8n — and then we design, deploy, and operate them for you on Microsoft Teams, ConnectWise, and the tools you already run. Managed, not DIY.

The gap nobody warns you about

The demo works. Production is where it dies.

AI has never been easier to prototype. A capable person can wire up an agent in an afternoon, show it doing something impressive in a controlled demo, and get everyone in the room nodding. Then the demo has to meet the real world — messy inputs, edge cases, an API that changes, a credential that expires, a hand-off that fails silently at 2 a.m. — and the whole thing quietly stops working. The people who built it have moved on. Nobody owns it. This is pilot purgatory: an AI project that impressed everyone once and now sits in a folder no one opens.

We built this service around the unglamorous half of the problem: the run and operate part. Getting a workflow into production and keeping it there is a discipline — monitoring, error handling, versioning, retries, human review, and a person who is accountable when something breaks. That is exactly what we specialize in. If your goal is to get AI pilots to production and keep them running, that is the whole job we do.

We are deliberately narrow about it. We do not sell you a proof of concept and walk away. We do not hand you a workflow file and wish you luck. We assemble the right system for one real bottleneck, put it into your live operation, and stay on the hook for it.

What we automate

Multi-step processes, with AI in the loop where judgment is needed

The best automations are not one clever prompt. They are the boring, repetitive chains of steps that eat your team's day — the work that spans three systems and always seems to need a human to copy something from one screen into another. We put AI where a decision or a judgment call is needed, and plain deterministic logic everywhere else.

Intake & routing

Requests arrive by email, form, chat, or phone; the system reads them, classifies them, and routes each one to the right person or queue — with AI making the call on the ambiguous ones instead of a human triaging every single item.

Data movement between systems

The copy-paste tax. We move records between your PSA, CRM, spreadsheets, and line-of-business apps automatically, keeping them in sync so nobody is rekeying the same customer three times.

Reporting & summaries

Scheduled roll-ups that pull from multiple sources, let AI draft the narrative summary a human would otherwise write, and land in Teams or an inbox on time, every time — without someone burning a Friday afternoon on it.

Approvals & follow-ups

Approval requests that go to the right approver, wait for a reply, and chase the ones that go quiet. Follow-up sequences that never forget the third nudge. Humans stay in control of the decision; the system handles the chasing.

How it works

Managed n8n automation, integrated with your stack

Under the hood, our orchestration runs on n8n — a mature, open workflow engine that lets us connect systems, add AI steps, and control exactly what happens on every path, including the failure paths. We pick n8n on purpose: it is transparent, auditable, and not a black box you can never see inside. Your automation is managed n8n automation that we host, monitor, and maintain, integrated with Microsoft Teams for notifications and approvals, your PSA (ConnectWise) for ticketing, and your CRM for customer data.

Three principles guide how we build every workflow, because they are what separate a durable system from a demo:

Reversible

Every automation can be paused or rolled back. Nothing we deploy locks you in or makes a change you cannot undo. If it is not working, we turn it off — no drama.

Observable

We watch runs, log every step, and get alerted on failures — so problems surface to us before they surface to you. You get visibility into what ran and what it did.

Human-in-the-loop

Where the stakes or the ambiguity are high, a person approves before anything happens. AI does the heavy lifting; humans keep the final say on the decisions that matter.

Operated by us

We build it, we run it, we fix it. This is AI agent implementation services delivered as a managed service — not a file you inherit and have to babysit yourself.

A typical engagement starts with one process. We map how it works today, design the workflow, build and test it against your real data, run it in parallel until it earns trust, then cut over and monitor it in production. From there we tune it and take on the next bottleneck.

Why managed matters

Mid-market teams don't have time to maintain a POC

If you are a 50-to-500-person company, your internal IT and operations team is almost certainly small and already stretched. They can keep the lights on. What they cannot do is take ownership of a half-built AI workflow — learn the tool, debug the integrations, handle the on-call, and keep it current as your systems change — on top of their day jobs. That is precisely how good pilots die: not because the idea was wrong, but because nobody had the hours to run it.

Managed changes the math. We are the team that operates it, so your people do not have to. You get the outcome of the automation without inheriting the maintenance burden of a system somebody else built. When your CRM pushes an update, when a vendor changes an API, when volume spikes — that is our problem to absorb, not another ticket in your team's queue.

This is also why we scope narrowly and prove value early. We would rather run one automation flawlessly than hand you five you cannot sustain.

Why trust us to run it

Battle-tested in our own operations first

We do not ask clients to be our test lab. The automation patterns we deploy for you are the same ones we run inside our own business every day — intake, routing, reporting, follow-ups, and system-to-system data movement. We feel our own failures before you ever would, which is a very good incentive to build things that hold up.

We are a focused, senior firm rather than a headcount-heavy consultancy, and we are a Pro IT NW company — which means the managed-services discipline behind this work, the monitoring, the accountability, the "one number to call when it breaks," comes from an established MSP practice, not a weekend side project. We are not going to promise you numbers we made up. What we will promise is that the system will be built to run, watched while it runs, and owned by us when it does not.

AI workflow automation FAQ

What is AI workflow automation?

It is the practice of turning a repetitive, multi-step business process into an automated workflow, with AI added at the steps that need judgment — reading unstructured input, classifying it, drafting a summary, deciding a route. The plumbing (moving data, calling systems, scheduling) is handled by deterministic automation; AI is used where a rule would be too brittle. In our case it runs on n8n, integrated with the tools you already use, and operated as a managed service.

Do you work with the tools we already use?

Yes — that is the point. We integrate with Microsoft Teams, ConnectWise, and common CRMs and line-of-business apps, and n8n connects to hundreds of other services plus anything with an API. We are not here to make you rip out and replace your stack. We automate across what you already run so the workflow fits into how your team already works.

How long does a deployment take?

It depends on the process, but a single well-scoped automation typically goes from kickoff to running in production in a few weeks, not months. We move deliberately: map the current process, build and test against your real data, run in parallel until it earns trust, then cut over. We would rather take an extra week to make it durable than rush a fragile workflow into production.

What happens when something breaks?

You call us — that is the whole value of managed. Because every workflow is monitored and logged, we usually see a failure and start on it before it becomes your problem. Automations are built to fail safely: a broken step pauses or routes to a human rather than doing something wrong quietly. There is one number to call, and the accountability is ours, not yours.

Is our data safe?

We treat your data as yours. Workflows only touch the systems and fields a given process needs, access is scoped and credentialed, and every run is logged so you can see exactly what happened. For sensitive data we can keep AI processing on local or private models rather than sending it to a third-party service. We will always tell you plainly where your data goes and why.
